eHorizon Fleet - Day-to-Day
Almost all transactions required in running the day-to-day operations of medium to large size fleet such as allocation, requisition, material receipt note, purchase order and log book, are covered in this customizable module. The Day-to-Day module provides effective reporting and MIS, and handles resource misuse with automatic alarms and reports.
The module also facilitates vehicle administration by providing a framework for specifying items to be bought, and a reporting mechanism for tracking the progress and status of orders. Vehicle procurement produces standard forms including orders, and matches orders against supplier’s invoices and analyses expenditure against budgets.
Allocation: This allows the allocation of a vehicle to a department, cost centre, driver or employee as per the user’s needs.
Requisition: This unit allows a company employee to make a requisition for the expenses that will be incurred on the vehicle or for a new purchase.
Purchase order: Purchase orders are made for new purchases and fuel/servicing expenses, and the system ensures the budgeted amount is not exceeded.
Delivery Note: This unit holds delivery note information received from the supplier and compares it with the actual purchase order made.
Bill: This unit records information relating to the invoice received from the supplier. It also checks the bill against the delivery note, thereby facilitates reconciliation.
Log Book: This keeps track of day-to-day vehicle movement (official and personal).
Maintenance contract: This unit is extremely useful in the event of breakdowns, repairs renewals, since it stores all information relating to the vehicle’s maintenance contract. By identifying critical maintenance dates, and producing lists of MOTs, Services Due, etc., this unit provides a reliable solution for a normally time-consuming and haphazard exercise. It is also the ideal mechanism for controlling the allocation of work to third parties, and subsequent performance monitoring.
The unit also tracks jobs-in-progress, performs warranty checks and analyses contractor performance, as well as checking cost tolerances for parts and labor and providing budget warnings. This menu driven facility allows the user to read fuel issue data.
